Kyma Advisors ("Kyma Advisors," "we," "us," or "our") provides bookkeeping, payroll, business advisory, and tax compliance services to small businesses from Sarasota, Florida. This policy explains what information we collect through our website, https://www.kyma-advisors.com (the "Site"), and through our related email, phone, and text messaging, how we use it, and the choices you have.
This policy covers the Site and our marketing and general communications. Financial and other client data that we handle while providing services during an engagement is covered by your engagement agreement with us, not by this website policy.
Information we collect
Information you give us. When you fill out a form, book a call, subscribe, call, or text us, we collect what you choose to provide. Depending on the form, this may include:
Request Info form: name, email, phone, business name, the service you are interested in, and your message.
Playbook request forms: name and email, so we can email you the playbook PDF you asked for and add you to the Kyma Wave newsletter list.
Newsletter sign-up: your email address (and name, if you provide it) for the Kyma Wave newsletter.
"Text me the link for later" form: name and mobile phone number, plus whether you checked the optional SMS consent box.
Appointment booking: the details you enter when you schedule a call, such as your name, email, phone, and the time you choose.
Phone calls and texts: your phone number and the content of the calls and messages you exchange with us.
Information collected automatically. If you accept analytics cookies, Google Analytics collects information about how you use the Site, such as pages viewed, the page you came from, general location (city or region), device and browser type, and clicks on certain links (see "Cookies and analytics"). Our website host, Squarespace, also keeps standard technical logs, such as IP address and browser type, to operate and protect the Site.
How we use your information
We use your information to:
Respond to your questions and requests.
Send you the playbooks, links, or other materials you request.
Schedule and hold discovery calls and meetings.
Send the Kyma Wave newsletter if you subscribe or request a playbook.
Understand which pages and resources are useful, so we can improve the Site.
Keep the Site and our forms secure and prevent spam and abuse.
Meet our legal and record-keeping obligations.
We do not sell your personal information.
Cookies and analytics
Opt-in cookie banner. When you first visit the Site, a cookie banner lets you choose "Accept all," "Decline all," or "Manage cookies." Analytics cookies are off by default. Google Analytics 4 runs in Google's consent mode with analytics storage set to "denied" until you accept. If you decline, or do not make a choice, analytics cookies are not set.
What we measure if you accept. With your consent, Google Analytics records page visits and a few specific actions, such as clicking to book a call, clicking our phone number or email address, downloading a playbook, completing a playbook request, and clicking our social media links.
Essential cookies. Squarespace uses some cookies that are needed for the Site to work, such as remembering your cookie choice. These cannot be turned off through the banner.
Spam protection. Our forms use Google reCAPTCHA to tell people apart from bots. reCAPTCHA may collect device and usage information, and its use is subject to Google's Privacy Policy and Terms of Service.
Changing your choice. You can change your consent at any time by selecting the "Cookie Preferences" button shown on the Site after you make a choice, or by clearing cookies for our Site in your browser. You can also use Google's browser add-on to opt out of Google Analytics at https://tools.google.com/dlpage/gaoptout.
If you request a playbook, we email it to you and add you to the Kyma Wave newsletter list. You are also added to the list if you subscribe directly. We send the newsletter through Mailchimp, our email service provider. You can unsubscribe at any time by clicking the unsubscribe link at the bottom of any Kyma Wave email, or by emailing [email protected] and asking to be removed. Even after you unsubscribe, we may still send messages related to a request you made or to services we provide to you.
SMS/text messaging
Text messages are sent from our registered business phone number.
How you opt in. If you use our "Text me the link for later" form and check the SMS consent box, you agree to receive a text message from Kyma Advisors with the link you requested. The consent box is never pre-checked, and you may submit your request without checking it.
Message frequency. You will receive 1 message about your request, and up to 2 messages if you reply.

Consent is not a condition of purchase. You do not have to agree to receive text messages to buy any of our services.
No sharing of mobile information. We do not sell, rent, or share mobile phone numbers or SMS opt-in consent with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties.
Sharing
We share personal information only as needed to run our business, and never for others' marketing. We use these service providers, which process information on our behalf:
Squarespace: website hosting, forms, and cookie banner.
Google: Google Analytics (only if you accept) and reCAPTCHA spam protection.
Mailchimp: Kyma Wave newsletter delivery.
Microsoft (Microsoft Bookings / Outlook): appointment scheduling at /appointments, and business email.
Our business phone and messaging provider: business phone calls and text messages.
Workflow and contact management: service providers that help us automate our workflows and manage contacts, including our customer relationship management system.
The SMS sharing limits above apply to all of these providers. We may also disclose information if required by law, to protect our rights or the safety of others, or as part of a sale or reorganization of our business.
If you click a link to our Facebook, Instagram, LinkedIn, or X pages, those sites have their own privacy policies.
Data retention and security
We keep personal information only as long as we need it for the purposes above, or as required by law. Specifically:
Form submissions (including playbook requests) are kept while you are an active contact and deleted 3 years after our last contact with you.
SMS consent and opt-out records are kept for 5 years, so we can honor and document your choices.
Newsletter subscriptions stay active until you unsubscribe.
We use reasonable administrative and technical measures to protect information, and we rely on established service providers for hosting, email, scheduling, and messaging. No website or transmission is completely secure, so we cannot guarantee absolute security. Please do not send sensitive financial information, such as Social Security numbers or bank account numbers, through our website forms or by text message.
Your choices and rights
You can:
Accept, decline, or change analytics cookies at any time (see "Cookies and analytics").
Unsubscribe from the Kyma Wave newsletter using the link in any email.
Reply STOP to stop text messages.
Ask us what personal information we have about you, or ask us to correct or delete it, by contacting us below.
We will respond to reasonable requests within a reasonable time, subject to any information we must keep for legal or record-keeping reasons. Depending on where you live, you may have additional rights under applicable law.
Children
The Site is meant for business owners and is not directed to children under 13. We do not knowingly collect personal information from children under 13. If you believe a child has given us information, contact us and we will delete it.
Changes to this policy
We may update this policy from time to time. When we do, we will post the new version on this page and change the effective date above. If a change materially affects how we use information we already have, we will take reasonable steps to let you know.
